This Privacy Policy explains how FounderWell (“we,” “us,” “our”) collects, uses, and protects your personal information when you use our platform, tools, community features, and related services (collectively, the “Services”). By using the Services, you agree to the practices described here.

2. Information We Collect

We collect information that you provide directly and information collected automatically when you use the Services. This may include:

  • Account and profile information (name, email address, phone number, account credentials)
  • Billing and payment details
  • Wellbeing check-in responses and self-reported wellness signals
  • Content you share in coaching sessions, community spaces, or platform tools
  • Usage data, device information, and basic browser or system details

We do not collect medical, diagnostic, or clinical data. Wellbeing features are educational and supportive in nature and are not a substitute for professional medical or mental health treatment.

3. How We Use Information

We use your information to:

  • Provide, operate, and improve the Services
  • Process payments and manage your account
  • Deliver AI-powered personalization, recommendations, and knowledge tools within your private workspace
  • Facilitate coaching sessions, community interactions, and platform features
  • Communicate with you, including service updates and optional marketing (which you can opt out of at any time)
  • Meet legal and regulatory obligations

4. AI, Personalization & Your Content

Our platform uses AI tools, including retrieval-augmented generation (RAG) and knowledge-base features, to personalize your experience. Key principles:

  • Private workspace content is used only to serve you and is not shared with other users or used to train general-purpose models.
  • Shared or community content (such as group sessions or community contributions) may be used to improve platform knowledge resources, subject to applicable consent and disclosure.
  • We do not use your personal data to train third-party AI models. Where third-party AI services are used, we require contractual restrictions against data retention or model training by those providers.

5. Google Calendar Integration & Google User Data

FounderWell offers an optional Google Calendar integration so you can sync your coaching sessions and check-in reminders with your personal calendar. This integration is only enabled if you choose to connect your Google account.

What we access. When you connect Google Calendar, we request permission to view and manage calendar events related to FounderWell. We use this access solely to create, update, and remove calendar events for your coaching sessions and platform activities. We do not read, store, or analyze unrelated events on your calendar.

How we use it. Google user data obtained through this integration is used only to provide the calendar sync feature you requested — placing your FounderWell sessions on your calendar and keeping them current. We do not use Google user data for advertising, and we do not sell it.

Sharing. We do not transfer Google user data to third parties except as necessary to provide the integration (for example, our hosting and infrastructure providers), to comply with applicable law, or as part of a merger or acquisition. We do not allow humans to read your Google user data unless we have your affirmative consent, it is necessary for security or to comply with law, or the data is aggregated and anonymized.

Retention and deletion. We retain Google user data only as long as needed to provide the calendar integration. When you disconnect Google Calendar — or when you delete your FounderWell account — we delete the Google user data associated with the integration, including stored OAuth tokens and any cached event references. You can revoke FounderWell’s access at any time through your Google Account permissions page at https://myaccount.google.com/permissions, or by disconnecting the integration in your FounderWell settings.

Limited Use compliance. FounderWell’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Sharing Information

We may share your information with trusted service providers who help us operate the Services, including hosting, payment processing, encrypted survey tools, session and scheduling platforms, analytics, AI infrastructure, and customer support. We require these providers to protect your data consistent with this policy.

We do not sell your personal information.

We may also disclose information if required by law, or to protect the safety and rights of our users, our team, or the public.

7. International Hosting & Data Transfers

Our primary infrastructure is hosted in the European Union. Where data is processed outside your home jurisdiction, we take steps to ensure appropriate safeguards are in place consistent with applicable data protection laws.

8. Cookies & Tracking

We use cookies and similar technologies to analyze usage, improve performance, and remember preferences. You can disable cookies in your browser settings, but some features of the Services may not function properly.

9. Data Security

We use reasonable technical and organizational measures to protect your information, including encryption, access controls, and vendor security requirements. However, no system is completely secure, and we cannot guarantee absolute security.

10. Data Retention

We keep personal information only as long as necessary for business, legal, or operational purposes. Retention periods vary by data type. When data is no longer needed, we delete or anonymize it in accordance with our internal retention schedule.

12. Coaching, Community & Wellness Disclaimers

FounderWell provides technology-enabled coaching, community, and wellness support tools. These Services are educational and supportive — they are not therapy, medical advice, or clinical treatment. Coaches and facilitators operating through the platform are independent professionals and are not employees of FounderWell. Group sessions and community spaces are not confidential therapeutic environments.

Our Services may contain links to third-party websites or integrations. We are not responsible for the privacy practices of those sites.

14. Children

Our Services are not intended for anyone under 18, and we do not knowingly collect data from children.

15. Changes

We may update this Privacy Policy from time to time. We will notify you of material changes through the Services or by email. Continued use of the Services after changes are posted means you accept the updated version.
